Using Streamio to Host Your Webinars: Simple and GDPR-compliant

We recently hosted a webinar using Streamio and wanted to share how we set it up, what worked well, and how you can do something similar. If you’re planning a webinar and want a GDPR-compliant solution that keeps things simple, this is for you.

What We Used for Our Webinar

Here’s a simplified version of the flow we used:

  1. Create a scheduled Event in Streamio for the webinar date and time.
  2. Add a 10-minute lead time and upload branded images for “before”, “after” and “stream interrupted” states.
  3. Configure the Streamio channel so that, during the webinar, visitors are redirected straight to the live event, and afterwards to the channel where the recording lives.
  4. Set up the event in Fienta for registrations and email reminders.
  5. Connect Fienta to our CRM via webhooks so new registrants are automatically sent there.
  6. Use Streamio Studio (or your preferred streaming software, such as OBS) to go live at the scheduled time.
  7. Enable Streamio Chat so participants can ask questions while a team member moderates.
  8. After the webinar, let Streamio automatically save the recording to our channel, then add automatic subtitles and trim off the lead-in.
That’s the core of it. We then followed up from our CRM with an email linking to the recording so both attendees and those who missed the live session could watch it.

Why This Setup Works Well for Webinars

A few things stood out for us:

It felt predictable. With Events and the lead time, everyone knew where to go and what to expect.

Branding stayed consistent. Custom images before and after the event made the experience feel like “our” webinar, not just a generic video player.

It respected privacy. Streamio, Fienta, and Matomo all support GDPR-friendly workflows, which matters if you’re working in or with EU-based organizations.

We could reuse the content. The recording went straight into our Streamio channel, where we added subtitles, trimmed the video, and made it available on demand.
